Privacy Policy

This policy explains what Linkiz collects, why, where it lives, and the choices you have. We wrote it to match how the product actually works — not from a generic template.

Who we are

Linkiz is an AI front desk for local businesses, operated by AImasterz (“Linkiz”, “we”, “us”). You can reach us at admin@aimasterz.com.

The two kinds of people this policy covers

Linkiz sits between two different groups, and we handle their data differently:

Customers
The business that signs up for Linkiz (the practice, shop, or local company) and the people who administer its account.
End-visitors
The people who visit a customer's website and interact with the Linkiz chat widget — and who may voluntarily leave their contact details to be followed up with.

For a customer's website visitors, the customer is the data controller — it is their business relationship and their lead. Linkiz acts as the data processor, handling that information on the customer's behalf and under their instructions.

What we collect from customers, and why

Email address
Used to create your account and to sign you in. We use passwordless “magic link” sign-in, so we email you a one-time link rather than storing a password.
Your website URL
So Linkiz can read your public site and build the knowledge base it answers from.
Configuration
Your business details, the answers you confirm, and where leads should be emailed — the settings that make the front desk yours.
Basic usage data
Conversations handled and leads captured, so you can see your dashboard and so we can operate and improve the service.

Your website content is crawled and indexed

When you connect a site, Linkiz reads its publicly available pages and builds a searchable index from that content. This is what lets the widget answer a visitor's question using your real information — your hours, services, pricing, and FAQs — rather than guessing. The index is scoped to your business: Linkiz answers a visitor only from your own content, never from another customer's.

What we collect from end-visitors, and why

When a visitor chats with the widget, Linkiz processes the messages they send so it can answer. If the visitor chooses to leave their details — typically a name, phone number, email, and a short message — Linkiz captures that as a lead and emails it to the business so they can follow up. Visitors provide this information voluntarily; it is not required to browse a site.

Not for medical or sensitive records

The widget is a front desk, not a medical or legal record system. Visitors should not submit sensitive personal information (such as health details, payment card numbers, or government IDs) through the chat. If you do, please contact the business directly instead.

Where your data is stored and processed

We use a small, deliberate set of providers (“subprocessors”) to run Linkiz. Each only receives the data it needs to do its job:

Supabase (Postgres)
Our primary database. Customer accounts, configuration, conversations, and captured leads are stored here.
Google Cloud / Vertex AI Search
Indexes your website content and powers grounded answers, so the AI responds from your pages rather than inventing facts.
Google Workspace (Gmail)
Used to email captured leads to the business so they reach you reliably and quickly.

We may add or change subprocessors as the product evolves; material changes will be reflected here.

We never use your data to train models

This one matters to us

Your content and your visitors' messages are used to operate your front desk — to answer questions and capture leads. They are not used to train, fine-tune, or improve any AI model, ours or a provider's. Your data is not pooled with other customers' data to build a shared model.

How long we keep data

We keep customer accounts and their data for as long as the account is active. Conversations and leads are retained so you can review your history in the dashboard. When you ask us to delete your account, or a visitor asks the business to delete their information, we remove the relevant data from our active systems within a reasonable period, except where we must keep something to meet a legal obligation. We are still finalizing exact retention windows with counsel.

Cookies

Linkiz uses a small number of cookies:

Authentication
A session cookie that keeps customers signed in to the dashboard. This is essential — the dashboard does not work without it.
Analytics
Privacy-respecting analytics that help us understand basic, aggregate usage of the site and product. We do not use this to build advertising profiles.

Your choices and rights

You can ask to access, correct, export, or delete your personal information. Customers can email us directly. Website visitors should generally contact the business they messaged, since that business controls their lead; we will support that business in honoring the request. To reach us, email admin@aimasterz.com and we will respond as promptly as we reasonably can.

Children

Linkiz is a tool for businesses and is not directed to children. We do not knowingly collect personal information from children.

Changes to this policy

As Linkiz grows, this policy will be updated. When we make a meaningful change, we will revise the “Last updated” date above and, where appropriate, let customers know. Questions about anything here? Email admin@aimasterz.com.
